Client Business Information

In the course of consulting, advisory, and diagnostic engagements (such as the AI Readiness Assessment, Sales Organization Transformation, or Executive Intensive), clients may provide or grant access to business information, including organizational structures, operational metrics, pipeline data, team information, and strategic plans. This information is treated as confidential and is governed by the terms of the specific engagement agreement between Polynous and the client.

Please do not submit sensitive personal information through our general website forms unless specifically requested and appropriate for the service being provided.

3. Cross-Brand Communications

Polynous operates multiple brands within a single business ecosystem. If you provide your information through one brand (for example, the "Seriously, What is AI?" platform), we may use that information to send you communications about other Polynous brands, programs, or services (for example, the Authentic D.N.AI Code methodology or Kristie O'Donnell keynote events), where permitted by applicable law and consistent with your communication preferences.

You may opt out of cross-brand marketing communications at any time using the unsubscribe link included in our emails or by contacting us directly. Opting out of cross-brand marketing does not affect communications related to a service or program you are actively enrolled in.

If you voluntarily provide your email address through a form, lead magnet, newsletter signup, event registration, platform enrollment, or other communication, we may use it to provide the requested resource and, where permitted, send additional communications from Polynous and its brands.

You may unsubscribe from marketing emails at any time by using the unsubscribe link included in our emails or by contacting us directly.

Platform and Service Notifications

If you are enrolled in a learning platform, coaching program, consulting engagement, or other active service, we may send you transactional and administrative communications necessary to deliver that service. These may include:

• Course and module reminders
• Progress and completion updates
• Session scheduling and reminders
• Deliverable transmissions
• Certification and credential notices
• Account and billing notifications

Unsubscribing from marketing communications does not remove you from transactional or administrative communications that are necessary to provide a service you are enrolled in or have requested.

5. Lead Magnets and Free Resources

When you request a free resource, such as an ebook, guide, worksheet, assessment, or other downloadable material, we may collect information such as your name and email address in order to deliver the resource.

We may also use that information, where permitted and consistent with your choices, to follow up with educational content or information about Polynous services and programs.

Our platforms may offer the option to create an account or sign in using a social media login provider, such as LinkedIn, Google, or other supported platforms. When you choose to authenticate through a social login, we may receive information from that provider, which may include your name, email address, profile photo, and a unique social platform identifier.

We only request the permissions necessary to create and manage your account. The information received from social login providers is governed by both this Privacy Policy and the privacy policy of the social platform you use to authenticate. We encourage you to review the privacy settings and policies of any social platform before using it to log in to our services.

7. Assessments and Diagnostic Data

Our programs and services may include proprietary assessments, including the Authenticity Quotient (AQ) diagnostic. When you participate in an assessment, we collect your responses, scores, and results.

Assessment data is used to:

• Improve our methodology and assessment tools (using aggregated or de-identified data only)

Assessment data is treated as confidential. Individual assessment results are shared only with the individual and, where applicable, with the organizational administrator who enrolled the individual in the program, consistent with the terms of the applicable license or engagement agreement.

8. Coaching, Advisory, and Consulting Data

Executive coaching sessions, VIP Days, advisory engagements, and consulting conversations may involve the discussion of sensitive professional information, including career challenges, organizational dynamics, leadership concerns, and strategic priorities.

Session Recording

Coaching and advisory sessions are not recorded unless you are informed in advance and provide consent. If recording is used (for example, for a virtual coaching session or workshop), you will be notified before the recording begins.

Session Notes and Deliverables

Notes, assessments, and deliverables generated during an engagement are stored securely and are accessible only to Kristie O'Donnell and authorized Polynous personnel directly involved in delivering the engagement. If Polynous engages certified coaches or facilitators to deliver programs under the Authentic D.N.AI Code methodology, those individuals will be bound by confidentiality obligations consistent with this policy.

Client Business Data

Business information provided during consulting and advisory engagements is treated as confidential, is used solely to deliver the engagement, and is governed by the terms of the specific engagement agreement. Polynous does not use client business data for marketing, cross-selling, or any purpose outside the scope of the engagement without the client's written consent.

9. Organizational Administrator Access

If you are enrolled in a Polynous program or learning platform through your employer, organization, or association, your organizational administrator may have access to certain information about your participation. This may include:

• Enrollment status
• Course or module progress
• Assessment completion (but not individual assessment responses or scores, unless otherwise specified in the engagement agreement)
• Certification or credential status

The scope of administrator access is defined in the license or engagement agreement between Polynous and the enrolling organization. If you have questions about what information your organization can access, we encourage you to contact your organizational administrator or reach out to us directly.

10. Recordings, Events, and Media

Keynotes, workshops, virtual events, webinars, and podcast recordings may involve audio or video recording.

Events and Speaking Engagements

Recording and redistribution rights for keynotes and workshops are negotiated with the event host and are not automatically included. If you attend an event where recording is taking place, you will be informed by the event host or by notice at the event.

Podcast and Media

If you appear as a guest on The Modern CEO podcast or other Polynous media properties, your name, likeness, voice, and the content of the recording may be used, published, and distributed across Polynous platforms and channels. Guest participation is voluntary, and the terms of appearance and use are established before recording.

Virtual Sessions

Virtual coaching sessions, workshops, and meetings are not recorded unless you are notified in advance and provide consent.

11. Certificates and Credential Records

Our programs and platforms may issue certificates of completion, ambassador certifications, or other credentials upon successful completion of a program or certification process.

We retain credential records, including the recipient's name, the credential issued, and the date of issuance, for the purpose of verification and record-keeping. Credential records may be retained indefinitely unless you request deletion and no legal or contractual obligation requires us to maintain them.

If a third party (such as an employer or prospective employer) requests verification of a credential, we will confirm only the fact and date of issuance unless you authorize the release of additional information.
